Who we are
Argun Stationers Limited, trading as Argun Printers & Stationers, is responsible for your personal details (the “controller” under UK data protection law). We are registered in England and Wales, company number 04335383, registered office 20 Amhurst Road, London E8 1JN.
Questions about your details: email hello@argun.co.uk, call 020 8985 7879, or ask in the shop at 20 Amhurst Road, E8 1JN.
What we collect
When you ask for a quote
Your name, email address, and if you give them, your phone number and business name. Also the details of the job, any notes, and any files you upload.
When you order
- What you ordered, the options you chose and the price.
- Your name, email address and phone number, which you enter on our payment page. Payments are taken by Stripe: your card details go straight to Stripe and we never see or store them. We see the payment’s status and a reference.
- The artwork files you upload, their names, and what our automatic checks found in them.
Your artwork may include other people’s details
Files you send can include names, photos, dates or contact details of other people, for example on an order of service, an invitation or a business card. We use these only to print your order. Please only send what you have the right to share.
When you email, call or visit
What you tell us, so we can help you and keep a record of your order.
When you use the website
A small cookie keeps your basket and uploads together (see our cookies page). Our hosting provider keeps short-term technical logs, such as IP addresses and the pages requested, to run the website and protect it from misuse. The quote form, the chat and staff sign‑in also run Vercel’s invisible spam check (BotID), which looks at technical signals from your browser to tell people from bots.
We count visits with Vercel Web Analytics. It doesn’t use cookies or store anything on your device, and it doesn’t identify you: it records the pages viewed, the website that sent you, and your type of device and country. When you ask for a quote or place an order, we also note where you came from, such as a search engine, so we know how people find us. We don’t use advertising trackers.
When you use the chat
The chat on our website is answered by an AI assistant. We keep what you write and its replies so our team can follow up and check the answers. If you give your name, email or phone number in the chat, we use them to get back to you. Please don’t share card details or anything sensitive in the chat.
Staff
For staff who sign in to manage orders, we keep their work email address and sign‑in records.
Why we use it
- To give you a quote, take and make your order, and tell you when it’s ready. This is needed to carry out the contract with you, or to take steps you’ve asked for before one.
- To keep financial records. The law requires us to keep records of sales and VAT.
- To keep the website and your files secure and prevent fraud. This is in our legitimate interests and yours.
- To answer your questions and complaints. This is in our legitimate interests, or part of our contract with you.
We only email you about your quote or order. We don’t send marketing emails. Our website checks your artwork files automatically, but a person makes every decision about your order.
Who helps us handle it
We use a small number of service providers who host the website, store files and data, take payments, send emails and host our email inbox. They only use your details to provide their service to us.
- Vercel hosts the website and stores uploaded files.
- Neon hosts the database that holds quotes and orders.
- Stripe takes payments, sends the invoices for quotes, and keeps a customer record with your name, email and, for quotes, business name. Stripe also uses payment details under its own privacy policy, for example to prevent fraud.
- Resend sends our order, quote and sign‑in emails.
- Vercel AI Gateway, with Anthropic, writes the chat assistant’s replies. Your chat messages are sent to them to produce each reply.
- OVHcloud hosts our email inbox. Order and quote emails, including attached artwork, are kept there.
We may also share details with our professional advisers, such as accountants, and with authorities where the law requires. We never sell your details.
Where it’s stored
Our database and uploaded files are stored in data centres in London. Copies of order and quote emails, which can include your artwork, are kept in our email inbox, hosted by OVHcloud. Some of our service providers are based in, or may access data from, other countries, including the United States. Where that happens, we rely on the safeguards UK law requires, such as the UK–US data bridge or the UK’s approved data transfer agreements.
How long we keep it
- Sales and VAT records: 6 years after the end of the financial year they belong to, as the law requires.
- Artwork files for an order: 12 months after the order is collected, then deleted, including copies sent to our email inbox.
- Quote requests and trade account enquiries that don’t become an order: 6 months, then deleted with any files attached. A quote that becomes an order is kept with the order.
- Baskets nobody has used for 14 days are deleted, with any files in them.
- Files you upload but never add to your basket or a quote are deleted after 2 days.
- Checkouts that were started but never paid are deleted after 30 days.
- Website chats are deleted 90 days after the last message.
- The basket cookie expires 14 days after you last use your basket.
- Staff sign‑in links are deleted after a day, and staff sign‑ins end after 90 days without use.
If you want something deleted sooner, ask us and we’ll do it unless the law requires us to keep it.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal details we hold about you;
- correct anything that’s wrong;
- delete your details, unless we have to keep them;
- limit how we use them, or object to us using them;
- give you your details in a format you can take elsewhere.
To ask, email hello@argun.co.uk or call 020 8985 7879. We’ll reply within one month. There’s normally no charge.
If you’re unhappy with how we’ve handled your details, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this notice
If we change how we use your details, we’ll update this page and the date at the top.
